Invite a trainee

Send an invite link so a new client can connect their account and choose exactly what to share with you.

Coach mode lets you view - and, where a client allows it, edit - someone else's nutrition and workout data inside your own Koach account. Every client decides for themselves what they share, and can change or revoke it at any time. Do this when you're ready to start coaching someone new.

1. Turn on coach mode

In Settings, find the Coach Mode switch. Turning it on doesn't unlock anything by itself - it just adds a My clients row to your settings menu, so you have somewhere to invite people from.

Open Settings → My clients. This opens your Coaching page. Select Invite a client to generate a fresh, single-use invite link. Copy it or use the share button, then send it to your client however's easiest for you - text, email, whatever works.

Each invite is unique to the person who opens it and expires after 7 days if unused. Under Pending invites you can see anyone who hasn't accepted yet, and cancel an invite that's no longer needed - the link stops working immediately.

3. What your client sees and controls

When they open the link, they see your name and a short consent screen - not an automatic connection. They choose, scope by scope, exactly what to share with you:

  • Workouts and Nutrition are each set to Don't share, View only, or View & edit.
  • Check-ins (weight, daily check-ins) and progress photos are separate on/off switches, and both start off. Because that's health data, none of it is visible to you until your client actively turns it on.

They can revisit and change any of this later from their own settings, or disconnect from you entirely - see the "When it goes wrong" section of the manage a trainee guide for what that looks like from your side.

4. After they accept

Once accepted, your new client appears under Your clients on the Coaching page, and you can open their tabs to start working with whatever they shared. There is no cap on how many clients you can coach.

What the trainee sees, and who may edit

A plan you author sits in your client's account but stays yours to edit. They see it badged Coach plan, read-only, with your name on the banner - they can follow it and log against it, and if they want their own version they duplicate it, which leaves your original untouched.

The boundary runs both ways: you cannot edit plans the trainee built for themselves, nor plans another of their coaches authored. Those show as Built by the trainee or Built by another coach in the list.

When it goes wrong

  • You can only have 10 invites waiting at once. That is an anti-spam limit, not a limit on clients - an invite stops counting the moment it is accepted. Cancel a stale one if you hit it.
  • A pending invite never gets accepted. Nudge them directly - invites don't send a reminder on their own - or cancel it and send a fresh one if it's been more than 7 days.
  • Your client says the link shows "This invite isn't valid." The link has expired, was already used, or was cancelled. Create a new one from Settings → My clients.
  • You sent yourself the invite by mistake. Koach blocks accepting your own invite outright - nothing to undo.
